When a counter runs out

Nothing is billed silently. Asking stops at the limit with a note that says what ran out, unless the owner has turned on automatic packs. Packs are bought in blocks and show on the next invoice. Unused allowance does not roll over.

The math

What one hour a day of looking costs.

A foreman at a $65 to $75 loaded rate who spends an hour a day finding things in the documents costs the company $1,300 to $1,500 a month in that hour alone. Published studies put the real number higher: the Procore and Dodge survey of 688 construction professionals found 18% of project time spent searching for information. Even the smallest plan here pays back on a fraction of one person’s time, before any avoided rework.

The numbers behind the plans are in the open: the price points sit where contractors already spend (four Fieldwire seats, one Togal seat, a third of an OpenSpace minimum), and the allowances are set five to ten times above what a typical customer uses, so most companies never see a pack.

Why per company and not per seat?
Because the value is in every foreman asking, and per-seat pricing is exactly what stops that. A field lead who has to ask the PM for a login never gets one. Each plan includes a generous number of users and meters what actually drives our cost: active projects, pages stored, questions asked and drawing sheets read by vision. Team and Company add users at $8 a month if you outgrow the allowance.
What counts as a question? What is a deep answer?
A question is one message sent to the ask box, in a project or in the HR base. Follow-ups in the same thread are questions too. A deep answer uses the larger model and reads more excerpts; it counts as two. Questions are pooled across the whole company, not per person. Voice transcription and read-back do not count as questions.
What is a vision sheet?
A drawing page that the vision model reads during indexing. By default only pages classified as drawings are sent; you can switch a company to all PDF pages or to none. Re-processing a document reads its drawing pages again and counts again. Text pages and OCR never count against the sheet allowance.
What happens if we go over a limit?
The usage page shows every counter against its limit, and owners and admins get an email at 80% and at 100%. At the limit, asking (or indexing) stops with a message that says what ran out and how to raise it; existing documents and answers are never locked. If the owner turns on automatic packs, a block is added instead and shows on the next invoice. There are no surprise charges either way.
Do you train on my documents?
No. Your documents, questions and answers are used to run the service for your company and for nothing else. We do not use them to train models, we do not share them between customers, and our model provider (OpenAI, via its API) does not train on API traffic. The details are on the security page.
What if Procore adds this?
Procore and Autodesk already ship document search inside their platforms, and both are moving toward drawings. If your company lives entirely inside one of those platforms and your GCs all use the same one, that search may be enough, and we would tell you so. Most subcontractors are not in that position: they receive drawings from several GCs across Procore, ACC, Bluebeam, SharePoint and email, and their own HR, safety and certification documents live nowhere. ProSearchAI is the one place all of it goes, priced for a 40-person shop rather than a platform contract. If the platforms close that gap, our job is to stay better on drawings and cheaper on price. We would rather say that plainly than pretend the risk is not there.
Can we switch plans or cancel?
Yes, from Settings, by whoever owns the account. Upgrades take effect right away and are prorated. Downgrades take effect at the next renewal. Cancel any time: monthly plans keep access to the end of the period you paid for; annual plans can be refunded in full within the first 30 days.
How does the pilot work?
The $199 pilot is one live project for 60 days on Team features, with no page cap on that job. Upload the whole document set, let the crews use it, and decide. If you continue, the $199 comes off your first annual invoice. If you do not, export what you want and we delete the rest.
Are there setup fees?
No. Uploading a project is drag and drop, and a ZIP of a whole folder keeps the folder names as tags. If you want us to load a backlog of past projects, or bring over an existing document library, that is a one-time service we quote per job.
